Preparing DST Orders for Digitization

Verify Dimensions

Do not rely solely on the dimensions imported from Order Desk.

If the dimensions appear incorrect:

  1. Open My Products.
  2. Compare the actual embroidery dimensions.
  3. Update Stitch Vault with the correct measurements.

Example

Order Desk may display:

  • 3.85 × 3.00

However, the product specification may actually be:

  • 3.85 × 1.70

Always use the product specification as the source of truth.

Verify Thread Colors

Compare the artwork against the thread colors listed in Stitch Vault.

For example:

  • If the artwork is entirely black, remove any unnecessary white thread.
  • Add or update thread colors as needed so AJ has accurate production instructions.

Determine Whether the Design Can Be Reuse

Some items within the same order may use identical artwork.

If another item:

  • Uses the same design
  • Has the same embroidery dimensions
  • Only requires a different thread color

There is no need to request another digitization.

Instead:

  • Mark the Slack request with an .
  • Leave yourself a note indicating which DST file should be reused after AJ completes the original digitization.

Continue Reviewing Remaining Designs

Repeat this process for every embroidery item within the order until all MVR files have been reviewed.

Some embroidery requests may not appear in Slack because an existing Stitch Vault design is already available. In these cases, no additional digitization is required.

Once all embroidery reviews are complete, continue to the next step of the production workflow.

For a complete demonstration of this workflow, including examples of reviewing designs, checking Stitch Vault, uploading preview images, and determining when to reuse existing DST files, watch the training video below.

Tip: We recommend watching the video alongside this KB the first few times you process DST orders. The KB serves as a quick reference, while the video provides additional context and real-world examples of the workflow.
