Stock Checking Process

Daily Stock Alerts

The Stock Update Supplier automation sends alerts multiple times a day for low-stock and out-of-stock items.

✅ Double-check all items flagged by the automation on both SanMar and S&S.

✅ If an item is out of stock across most warehouses, mark it as OOS.

✅ When reviewing, don’t only check the specific color alertedalso review the full catalog of available colors for the item.

✅ If unsure whether to mark an item as OOS, confirm with Micah before proceeding.

Marking Core Products as OOS

  1. Go to TCS/IM WordPress.
  2. Under ID Tools, select Stock & GTIN.
  3. Check the GTIN Stock Status tab first, then search using either the SKU or color.
  4. If the SKU appears in the stock status, update the stock using the Update via GTIN tab.
  5. If the SKU does not appear, update the stock via the Stock & GTIN Sheet Update.
  6. Enter all required details.
    • In the Stock Quantity field:
      • Enter 1 = OOS
      • Enter 0 = Discontinued
  7. Select Add to Queue.
  8. Go to the Queue Debug tab and start processing.
  9. Once processing is complete, verify the core product to ensure the correct size or color is marked as OOS.

Marking Decorated Products as OOS (Support/Fulfillment Requests)

For decorated products that did not reflect stock updates:

  • Manually mark the specific color or size as OOS using either:
    • Variation Manager+, or
    • Edit Product

General Updates

Regularly update the Stock Table inventory when:

📌 Colors are discontinued, or

📌 New colors are added
