SanMar Replacements | Damaged or Missing Items

This guide explains how to handle replacement requests with SanMar for damaged or missing items. It includes the information you need to provide, the typical process for replacements, and tips to ensure requests are handled efficiently. Use this KB as a reference when contacting SanMar or tracking replacement orders internally.

Information to Provide When Contacting SanMar

Always have the following ready:

  • Sales Order (SO) Number
  • Item Number
  • Color
  • Size

Damaged Items

When an item is damaged:

  1. Briefly describe the damage to SanMar.
  2. Photos are not required, a description is sufficient.
  3. SanMar will typically either:
    • Process the replacement immediately, or
    • Request the last four digits of the card on file for verification.

Missing Items

When items are missing from an order:

  1. SanMar may temporarily charge the card on file.
  2. A refund is then issued back to the same card.

Replacement Confirmation

  • Always request the replacement order number from SanMar.
  • Alternatively, have the replacement confirmation emailed to:

Tips / Notes

  • Double-check the SO and item numbers before contacting SanMar to avoid delays.
  • Confirm whether the replacement will be processed immediately
